- We are fully computerized
- All levy/rental payments are made into our Trust account ( as per the requirement of the Estate Agents Affairs Board). The bank account is listed with ABSA Cash Focus and all levy/rental deposits reflect daily on our system and are receipted accordingly. All payments on behalf of the Body Corporate/ owner are also paid via Cash Focus.
- We attend monthly trustees/owner’s meetings and the Annual General Meeting and provide minutes of these meetings to the Board of Trustees/owners
- We also undertake to arrange for the repairs and maintenance of the common property. This includes the negotiation with professional firms for the compiling of specification of the work to be done, when so instructed.
- We pay salaries/wages, P.A.Y.E, UIF and Workmans Compensation on behalf of the Body Corporate. The Agents also assists in mediation and arbitration in terms of the Labour Relations Act.
- We assist the Trustees/owners with instigation of insurance and the increase in replacement values of improvements for insurance purposes and arrange for valuations, when so required by the Trustees, and the processing of all insurance claims.
- We keep full records of the administration and report to the Body Corporate/owners and to all holders of registered Section Mortgage Bonds. The Trustees/owners are provided monthly with a levy roll and disbursement statements and the Chairman/owners is provided with all copies of invoices that have been paid.
- We arrange for the Annual Audit with an Auditor as appointed by the Body Corporate/owner. Upon completion and approval by the Trustees, the Audit Report is submitted to the Body Corporate at the respective Annual General Meeting, with the prepared Annual Estimate of income and expenditures and the monthly levy determination for amendment and approval by the Trustees.
- With the instruction of the Trustees/owners we employ meter readers for the reading of utility sub-meters whereby the consumption data is recorded on the levy statements.
- We exercise credit control in respect of all amounts owing by owners/tenants to the extent of timeously addressing letters and reminders to owners/tenants in arrears and with instruction of the Trustees/owners, instigate legal action against defaulting owners/tenants.
- Levy/rent accounts are closely monitored and should the account not be paid on the 7th of the month, a friendly reminder shall be issued, the cost of which will be debited to the said debtor’s account. If the account is still overdue on the 15th of the month a final demand shall be issued, where immediate legal action shall be taken. Interest shall be charged on arrear levies/rentals, at such a rate determined by the Trustees/owners and in accordance to the Usary Act No. 81 of 1995 as amended.
- We assist and advise the Trustees/owners on procedural matters such as resolution, voting rights, amendment to rules and statutory requirements of the Sectional Title Act 95 of 1986 as amended.
- We arrange the drafting and distribution of information to owners and tenants as well as attend to queries, suggestions, complaints and the normal correspondence of the Body Corporate.
Letcor Property Management and its employees are registered with the Estate Agents Affairs Board and operate strictly in accordance with the current legislation in terms of: - South African Revenue Services;
